This Privacy Policy explains how SmartAdvisorX.com ("Smart Advisor," "we," "us") collects, uses, and shares information when you use our platform and websites (the "Service"). We are based in the United States and serve United States advisory firms.
We collect information to operate the Service, support our customers, and improve our product. We act as a service provider (processor) for the client information our customers upload, and as a controller for the account information of the advisors and firms who use Smart Advisor.
Name, business email, firm name, role, and billing details when you register or subscribe.
Log data, device and browser information, IP address, and how you interact with the Service.
Meeting recordings or transcripts you choose to process, notes, documents, CRM records, and other Customer Data you submit.
When our customers upload information about their clients and end-investors ("Customer Data"), we process it only to provide the Service and on the customer's instructions. The customer is responsible for the lawfulness of the data they submit, including obtaining any consents required to record or transcribe meetings.
AI features process the content you submit to generate summaries, notes, and suggestions. Where we use third-party AI providers to power these features, they are bound by contract to process data only to deliver the service and not to train their general models on your data.
We share information only as needed to run the Service:
We rely on a limited set of vetted United States providers for hosting, payment processing, and AI features. Each is bound by data-protection terms. A current list of subprocessors is available on request at privacy@smartadvisorx.com.
We retain account information for as long as your account is active and as needed to provide the Service. After termination, we make Customer Data available for export for a limited window, then delete or anonymize it, except where longer retention is required by law or for your own recordkeeping settings (such as WORM archiving you have configured).
We use technical and organizational safeguards, including encryption in transit and at rest, access controls, and monitoring. See our Security page for details. No system is perfectly secure, and we cannot guarantee absolute security.
Depending on your location, you may have rights to access, correct, delete, or export your personal information. For account data, contact us directly. For client data held on behalf of a firm, requests should be directed to that firm, and we will assist them as their service provider.
Residents of states with comprehensive privacy laws (such as California, Colorado, Virginia, and others) may have additional rights, including the right to know what personal information we process and to request deletion.
